Best outbound sales tools for small teams
A team of three buys outbound tools on two constraints a large team does not have, and neither of them is on a feature list. The first is the billing unit. A tool priced per user, per seat, per identity or per LinkedIn sender multiplies by headcount, while a tool priced per account or per workspace does not, and that single difference changes the bill more than any feature on this page. The second is that nobody on a small team is a full-time list builder. Three people have no SDR whose job is to search, export and import, so the tools that keep the list filling on their own are worth more than the tools with the deepest campaign editor. This page ranks on those two things, then on channel coverage. We sell the product at the top and we run our own outreach on it, so weigh the order accordingly; every third-party fact below comes from the vendor's own pages on the date shown at the bottom. Prices are in the currency each vendor publishes, and you should not compare EUR and USD figures without converting them.

A team of two to ten has nobody whose job is building lists, and our agents source and qualify prospects from LinkedIn on their own. LinkedIn, email and per-prospect video then run in one sequence on one plan at €99 per user per month, with native CRM sync included. The honest counter-argument is the billing unit. We charge per user, so three people cost €297 a month, while Smartlead charges $39 and Instantly $47 for the whole workspace regardless of headcount. Those are dollar figures, and they are not directly comparable to the euro price without converting currencies.
What is the cheapest outbound tool for a small team?
It depends on whether the price is per person or per account. Can a small team run outbound without a dedicated SDR?
Partly. The sourcing and the sending can run without a person. Which of these keeps data in the EU?
We store all customer data within the European Union, and Lemlist's privacy policy states the host servers on which it processes and stores its databases are located exclusively within the European Union. La Growth Machine names its sub-processors, most inside the EU with two outside it. Instantly generally stores service information in the United States, and Smartlead processes on Amazon Web Services in Sydney, Australia. Waalaxy's data usage policy and Dripify's privacy policy do not state where customer data is hosted, so ask before you sign if this matters.
How long do the free trials last?
14 days with no credit card for Vaam, La Growth Machine and Lemlist. 14 days on all Waalaxy plans, with a Freemium tier afterwards that keeps prospects and campaigns readable. The Waalaxy trial converts to a paid subscription automatically, and its help center states no reminder is sent.
